STATE REQUIREMENT - The State of Kansas requires that all exhibitors provide a completed W-9 form each year PRIOR to issuing any premium winnings. Online entries will submit social security information and validate information is correct.

Kansas State Fair no longer prints a hard copy exhibitor handbook. Paper copies of sections are available at the Kansas State Fair Administration Office from 8:00 a.m. - 5:00 p.m., Monday through Friday. If an exhibitor would like us to mail a copy of a handbook/section, please contact us at 620-669-3600.

Exhibitors are required to register online. Online registration closes at midnight on August 1.. **All payments are due before deadline. Kansas State Fair staff is available during normal business hours to assist with all entry processes. If detailed questions arise, exhibitors are encouraged to contact the department superintendent for direct assistance at 620-669-3600.

All exhibitors are required to pay a $1.00 fee, per entry, as well as a one time handling charge of $1.00 to enter. Payment for online entries must be processed using a Visa, Master Card, or Discover Card. NO entry is finalized until payment is made in full. An entry is not complete until receipt of full payment is received by the Kansas State Fair. This includes payments for the purchase of advance discounted gate tickets. The Kansas State Fair observes a “No Refund” policy. Competitive Exhibits exhibitors may purchase a limit of (6) six discounted tickets per exhibitor.

All entries must be made by the owner or a person authorized to act for the owner. Each exhibitor must have their own account with their own information (social security number). Family members cannot be combined on one account.

All entries for competition must be entered in the proper division, with all required information, by entry closing time listed in each department section. Exhibitors may enter no more than one item per class. Entries must be the work of the exhibitor and should have been completed within the last year unless otherwise stated in the department rules. Taxes to be paid on winnings are the responsibility of the winner.

ERRONEOUS ENTRIES: At the discretion of the Kansas State Fair management, exhibits that have been erroneously entered may be transferred to the proper classes prior to check in if it is not a substitution and determined by the department superintendent to be accidentally entered. Kansas State Fair management will decide the disposition of each case of erroneous entry.
