For numerous reasons, Kansas State Fair will only be accepting online entries in our Competitions Departments, effective immediately. If you should need assistance for any reason, please contact our office at 620-669-3600. You may also email us at ksf.competitions@ks.gov . Our goal is to make this transition process as easy as possible.

Kansas State Fair General Rules must be followed by ALL exhibitors in addition to any department, division and class rules listed.



NEW & ADDITIONAL DEPARTMENT RULES FOR BOY SCOUT & GIRL SCOUT EXHIBITORS


******RULES # 1 - 6 ARE NEW
  1. DEADLINE DATES: All exhibitors are required to submit their entries online by deadline date of JULY 25. Online assistance is available during regular business hours only. (Monday - Friday, 8:00 am - 5:00 pm)
  2. REQUIRED EXHIBITOR FEES: ALL exhibitors are required to pay a $1 processing fee as well as a $ 1.00 per entry fee. The entry fees collected are used to assist in premiums paid out.
  3. LATE ENTRIES: Entries will still be accepted after the deadline but will follow these rules: All entries past their deadline will need to be registered online. Late fees will apply. Our late fees no longer reflect per exhibit but per exhibitor.
  4. LIMITS: An exhibitor can enter one item in any one given class.
  5. Exhibitors will have up to 15 minutes to arrange, display or touch up their exhibit upon arrival, but prior to check in. Exhibits cannot be prepared or assembled on-site unless it is a "real time" contest and it is stated in the rules. Superintendent has the right to disqualify an entry or exhibit if anyone other than the exhibitor has prepared it. ALL WORK MUST BE THAT OF THE EXHIBITOR.
  6. Displayed items are limited - KSF reserves the right to only display what room allows. Those that are not displayed can be picked up at designated pick up times.
  7. Competitive exhibition is open to all registered Boy Scouts / Girl Scouts in good standing. Classification for entries will go by Scouts registration rank from September 2020 through August, 2021.
  8. Exhibit articles must have been made by the exhibitor since the previous year's Fair and never previously exhibited at the Kansas State Fair except for collections which may be exhibited more than once if new additions are made, labeled and dated.
  9. Food entries should include (6) six samples of one variety. A typed recipe on 8 1/2" x 11" paper with name, address & phone number on bottom left corner must accompany each entry. Recipes become the property of the Kansas State Fair. All food entries should be in a sealed food container such as a storage bag or box.
  10. Collection items need to be clearly labeled. Collections may be entered in consecutive years, provided new additions are labeled and dated. No item may be exhibited more than (2) times at the State Fair.
  11. Drawings, Paintings, and Photography should be matted or mounted. ** NO FRAMES or glass allowed.
  12. Gardening entries must have been planted and grown by the Girl Scout who entered the exhibit.
  13. Sweepstakes are determined by a point system: 1st =3 points; 2nd =2 points; 3rd =1 point, and awarded to the Scout in each classification earning the most points. All other judging is done using the Danish System.


SHIPPING:
SHIPPED ITEMS
Shipping charges on all exhibits must be prepaid. Packages should be addressed to: Kansas State Fair, ATTN: Scouts Dept. , 2000 N. Poplar, Hutchinson, KS 67502 and must be received between August 1 and August 15. A copy of your entry form/registration should also be included in your package with your pre-registered items. Please make sure all items are labeled in a manner that can be removed before judging (a note attached by a rubber band, twist tie, masking tape, safety pin, etc.)

ITEMS TO BE RETURNED
Item(s) will be shipped back at the exhibitors request and expense after the fair and in its original packaging. WE ARE NO LONGER ACCEPTING POSTAGE STAMPS, PREPAID LABELS, CASH OR CHECKS FOR POSTAGE IN ADVANCE. EXHIBITOR MUST INCLUDE INSTRUCTIONS FOR RETURNING WITH ORIGINAL SHIPMENT ALONG WITH A COPY OF YOUR REGISTRATION. We will phone you to obtain a credit card number for payment BEFORE items are returned. Packages will be returned U.S. Postal Service. We will not insure for any additional value unless requested by the exhibitor.





PINEWOOD DERBY, OUTLAW DERBY & POWDER PUFF DERBY CLASSES, CARS WILL RACE AGAINST EACH OTHER DURING THE FAIR TO DETERMINE A WINNER. RACE SCHEDULE TO FOLLOW AT A LATER DATE.




Judging uses the Danish System

All information provided on the account / entry form or W-9 form (social security # information) must be that of the exhibitor (scout) and not the parent
